Don’t get Lazy Answering the Phone

No matter whether your job involves sitting at a desk and answering the phone all day long or if you just have to answer the phone a few times during the day, it’s important to not get complacent or lazy and keep up a good phone manner at all times. Here’s some advice on good practices for offering a quality phone answering service.

  • As you answer the phone – smile! Having a smile on your face will translate to your voice sound you will sound friendlier.
  • Make sure to answer clearly and stat who both you and the company are.
  • Try and make sure to have responses that are natural and flow as a conversation so limit the scripted responses that you give.
  • Have a pen and paper to hand to note any important information from the call.
  • Focus completely on the phone call and don’t multitask whilst on the phone.
  • If for whatever reason you have to place someone on hold, make sure to check in for every minute to reassure them they are being dealt with and not forgotten about.
